This prestigious 24 acre development, in Surrey, is home to over 200 resident families and hosts numerous listed buildings and protected features, which is overseen by a facilities manager.
A common challenge stems from the amount of people on this large site. Naturally, the most important thing to each resident is the parts of the garden they see every day. This, of course, includes the entrance to the estate and main roads running through, but perhaps to a greater degree the small area outside their individual houses.
To be able to effectively maintain an estate like this, the ability to look at the site as if you lived there yourself is imperative.
The resident’s pay a fee to have the garden services provided. This is a monthly cost which has built into it the cost of any other maintenance services provided by the management company. The team on site must understand how to provide the best service but also manage the expectations of over 200 families.
Systems we have introduced include a monthly formal meeting with Facilities, as well as a quarterly meeting with an in depth monthly report. Additionally, twice a year, we do a walk round with the garden committee (a group of interested residents) who are interested primarily with the areas outside their own houses.
In order to run the site efficiently, we have split up the site into zones and made a plan of seasonal tasks spanning the whole year. We also keep a daily diary of completed works. This gives us a good chance of being able to stay focused on what we are trying to achieve.
